Fleet Administrator (Maternity Cover)

We are currently looking for a Fleet Administrator to join our busy Fleet Team covering maternity leave, based out of the Tarmac Solihull office (working on a hybrid basis). This is a full time role that is easily accessible from Birmingham, Solihull, Acocks Green, Rubery, Digbeth, Walsall, Coventry, Tamworth, Atherstone, Nuneaton, Redditch, Bromsgrove and across the West Midlands and East Midlands.

Role Responsibility
Reporting to the Fleet Administration Manager, the role of Fleet Administrator will work as part of a busy team, ensuring all daily fleet tasks are completed accurately and promptly. This is across the large Company Van and Car Fleet of up to 2500 vehicles. The role of Fleet Administrator ill also be responsible for:
- First point of contact for internal and external stakeholders
- New starter vehicle allocations
- Renewal vehicle ordering
- New starter hires
- Pooled vehicle management and vehicle reallocations
- Fuel card management/ordering
- Management of fixed penalty notices, ensuring all fines are processed within the appropriate timeframe
- P11D and P46 reporting
- Accurately maintaining integrity of the car and van fleet databases, updating for additions, reallocations and terminations
- Building and maintaining excellent relationships with internal and external stakeholders
- Maintenance of supplier invoicing process
- Timely resolution of queries and issues raised, managing expectations throughout
- Strict adherence to process, policy and compliance
The Ideal Candidate
The ideal candidate for the role of Fleet Administrator will have proven experience in a similar role juggling fleet administration tasks and other company car administrative duties - perhaps you have experience working in a car leasing or hire environment? …although not essential, and you will enjoy working autonomously but also be a team player, taking pride in providing a first-class service to all stakeholders.

- React promptly and efficiently to queries
- Deliver a fast and efficient service to stakeholders
- Evidence superb attention to detail
- Demonstrate skills in a variety of administrative tasks and the ability to multi-task
- Confidently work under pressure, prioritising tasks with limited time constraints
- Evidence a strong customer service focus, working effectively as part of a team but also independently
- Possess excellent communication skills
- Demonstrate exceptional telephone and customer service skills
- Confidently use strong numeracy skills in particular Excel (VLOOKUP advantageous)
- Experience in Smart Sheet and SAP advantageous
