Invoice Processing Administrator

Due to an upcoming business divestment project we are currently looking for an Invoice Processing Administrator to join our friendly team based in our Tarmac Solihull office. This role is easily accessible from Birmingham, Solihull, Coventry, Tamworth and across the West Midlands and East Midlands. This is a temporary role working on a fixed term contract for up to 12 months+

Role Responsibility

The P2P Invoice Processing Team are responsible for the day-to-day processing of all invoice transactions within the P2P Team. The role of Invoice Processing Administrator will be responsible for ensuring that all supplier invoices are received and paid within the supplier terms of payment. As Invoice Processing Administrator you will also be responsible for:

  • Maintaining the invoice processing mailbox, resolving queries as required
  • Monitoring non matched invoices – reconciling and matching to correct PO/GRN as required
  • Becoming an active member of the team, supporting the auto-match process
  • Ensuring all invoices are processed in a timely manner in line with individual supplier terms
  • Ensuring all non compliant invoices are returned to supplier – requesting PO numbers where required
  • Supporting internal stakeholders (operations, finance etc) with invoice queries and support proactive resolution to webcyles (supplier queries)
  • Maintaining high levels of data accuracy within the invoice processing
  • Maintaining good working relationships with internal and external stakeholders
  • Ensuring the correct and appropriate policies and procedures are complied with and communicated to customers and stakeholders
  • Identifying areas of potential improvements for key processes
  • Completing supplier statement reconciliations

The Ideal Candidate

The ideal candidate for the role of Invoice Processing Administrator will have previous experience working in a similar role in another large organisation. Suitable candidates for the role of Invoice Processing Administrator will demonstrate:

  • A Level qualification (or equivalent) with experience of Invoice processing
  • Indepth experience of supplier statement reconciliations
  • Experience of working with SAP in a procure to pay role
  • Experience working in a Shared Service environment or department
  • Proven track record of working to tight timelines, critical deliverables and delivering high accuracy
  • Good knowledge of SAP and Excel including v-look ups
  • Ability to work speedily to tight deadlines
  • Capability to be flexible and adapt quickly to a changing environment
  • Able to prioritise own workload
  • Proven team player skills
  • Good written and verbal communication skills
