Receptionist (Job share)

We are currently looking for a Receptionist (Job Share) to join our friendly team in Birtley. As this role is a job share you will work part time hours, Monday to Friday 12pm-5pm equating to 25 hours per week. This role is a key front of house support role with responsibility for the smooth and efficient running of the reception area ensuring a welcoming and professional atmosphere for all employees and visitors. The role will also include an element of Facilities and SHE support. You will also be responsible for standard admin duties if and when required.

Role Responsibility

As the first point of contact for customers you will: 

  • Meet and greet customers and staff in a professional manner 
  • Reception Duties including receiving visitors, answering incoming calls and general visitor hospitality 

  • Maintains security by following company procedures; monitoring logbook; issuing visitor badges 

  • Ensure all Dawn Raid and all other contact lists are maintained and kept up to date 

  • Maintains telecommunication system by following manufacturer’s instructions for house phone and console operation 

  • Sorting and distributing incoming daily post, courier, franking and processing outgoing post 

  • Ordering of stationery, kitchen supplies, working lunches and general administration associated with these duties 

  • Maintains a safe and clean reception area by complying with company procedures, rules and regulations 

  • Meeting room management 

  • Key contact for Landlord and general office dealings 

  • Responsible for delivering H&S briefings to all new starters 

  • Act as chief fire warden and responsible for arranging fire drills, testing of alarms and ensuring all fire safety equipment is to standard 

  • Responsible for arranging first aiders, fire wardens and courses where required

  • Assist on a day-to-day basis with regards to office maintenance, liaising with external contractors where needed, ensuring the office overview is maintained, using initiative 

  • Overview office security, cleaning, catering, equipment requests and purchase requisitions 

  • Any other ad-hoc administrative duties which will ensure the smooth running of the regional office, as and when required
